The short answer
A client document audit trail should let a partner answer "did this client send it, and what happened next?" in seconds. At minimum it records who sent each file, when it arrived, which checklist item and period it was matched to, and every action staff took afterwards. It should also have a clear retention rule, so the firm is not holding client data longer than it needs to.
Why a firm needs one
Sooner or later a client will say they sent the purchase register weeks ago. Without a record, the conversation is one person's memory against another's. With a trail, it is a lookup. The same record protects staff: it shows what was asked, what arrived and who decided what.
What the trail should record
- Who sent the file: the client, identified by the number on the firm's record.
- When it arrived: a timestamp, not just a date.
- What it was matched to: the checklist item and the period it covers.
- How it was decided: matched automatically, or confirmed or reassigned by a member of staff.
- What the firm did: reminders sent, items waived, files rejected or asked for again.
- Who acted: the staff member behind each change.
What a partner should see at a glance
Before a deadline, a partner wants a single view of the cycle: which clients are complete, which are waiting on one item, which are missing several and which have gone silent. If getting that answer means scrolling chats, the status is still living in memory rather than in a system.
Decisions that need a human, and a record of them
Real life is messier than a checklist. A client may send one document that covers two items, or a bank statement for a slightly different period, or a blurry photo. In those cases staff should be able to accept, reassign or waive an item, and the trail should keep who did it and when. A trail that only records automated matches is missing the decisions that matter most in a dispute.
Access: who can open the documents
A trail is only useful if access to it is controlled. Staff need to open files; clients and outsiders should not be able to. A sound pattern is to give staff temporary links rather than permanent file URLs, so a leaked link stops working quickly. In Fyliio, files open only through links that expire after 60 seconds.
Retention: decide how long to keep it
Keeping every message forever increases the client data your firm is responsible for, and India's Digital Personal Data Protection Act, 2023 puts weight on holding personal data only as long as it is needed for its purpose. At the same time, tax law and professional standards require certain records to be kept for prescribed periods, so the collection trail should not be confused with your statutory working papers. Check the current retention requirements that apply to your practice and, if in doubt, take advice from a qualified professional.
A workable division is to treat the collection trail as the operational record of how documents arrived for a cycle, and to keep filed documents and working papers under the firm's own retention policy. Fyliio deletes WhatsApp messages and files automatically after 90 days, and does not use client documents to train AI models.
How Fyliio handles this
Fyliio keeps the conversation history for each client, records how each file was matched, and sends anything uncertain to a staff review queue where items can be confirmed, reassigned or waived. A live board shows completeness across clients, and a ZIP packet exports the received documents when the list is complete. The database runs in Singapore on AWS, and data is handled under India's DPDP Act.

Frequently asked questions
Is a WhatsApp chat enough as an audit trail?
Usually not. A chat shows messages, but not which checklist item a file satisfied, what period it covers or what staff decided. Those are the details you need when a client disputes what was sent.
How long should a CA firm keep client documents?
It depends on the records and the law that applies to them. Confirm the current statutory periods for your practice and keep filed documents under your own retention policy. The collection trail is a separate, operational record.
Who can open the files in Fyliio?
Firm staff, through links that expire after 60 seconds. Clients never log in.
What happens to the data after 90 days?
WhatsApp messages and files are deleted automatically after 90 days.
